Staff Accountant (2) - Pastoral Center

The Pastoral Center located in Palm Beach Gardens, FL is searching for a full time Staff Accountant (2)

Essential Duties and Responsibilities include:

Accounts Payable:

  • Receive check requests from various Diocesan departments, confirm account coding, and enter as invoices in Sage 50 for the General Fund, Plant Fund, Self-Insurance Fund, Health Plan Trust and Pension Plan Trust, and Diocesan Accounting System for SFT check requests.  Once entered, check requests are given to the Controller for approval before checks are printed.
  • Investigate and process direct invoices and match receipts (ie: American Express, Visa, etc) for coding and data entry.
  • Account for Priest reimbursements by creating spreadsheet using receipts to allocate costs properly and to check for accuracy.
  • Print disbursement checks and attach to check request documents for review and signature by the Chief Financial Officer (CFO). 
  • File each check voucher package accordingly after checks are disbursed by the Administrative Assistant.
  • Create and upload to bank the Positive Pay data for all checks generated.
  • Initiate ACH payments as needed for charitable gift annuities, Seminarians, and Health Trust payments.
  • Generate subsidy checks on a monthly basis and maintain correct subsidy amounts each budget year in Sage 50.

Banking:

  • Initiate transfers into or out of the SFT accounts as requested by entities.
  • Maintain entity bank information within the bank templates for transfers.
  • Set up and maintain auto-pay transactions for SFT loans, SFT savings, and Self-insurance payments in the bank templates.
  • Initiate wire transfers as needed.

Accounts Receivable:

  • Reconcile receivable accounts with entity records and facilitate timely collections.
  • Generate accounts receivable invoices, and statements to parishes and schools for all professional fees (and other charges) paid by the Diocese on their behalf and DSA shortages. 

Miscellaneous:

  • Assume the replacement role of the Petty Cash Clerk in his/her absence.
  • Place orders for departments using Amazon Prime account or Visa, maintaining control of the use of credit accounts.
  • Assist in the annual independent audit of the diocesan financial statements.
  • Performs various other duties for the Finance Office as assigned by the Controller and the CFO.

Other:

  • Will be provided with cross-training for other positions in the Finance office to provide coverage where needed – this may include payroll and posting deposits.

Qualifications:

  • High School Diploma required.
  • AA Degree or Bookkeeping training and 2 to 4 years experience in accounting environment.
  • Knowledge and understanding of church organization and operational procedures.
  • Proficiency in MS Office Suite, including Word, Excel, Outlook, PowerPoint and Internet, as well as Sage 50 accounting applications
  • Excellent and professional telephone manner and interpersonal skills.
  • Ability to work effectively with Diocesan employees, departments heads, representatives of other agencies and the general public.
  • Ability to multi-task, work independently and make responsible judgment calls
  • Adhere to the Diocese of Palm Beach Code of Conduct with emphasis on confidentiality and able to exercise discretion and good business judgment
  • Safeguard the integrity and confidentiality of all employee records
  • Strong organizational skills
  • Working knowledge of office equipment (phones, computers, printers, fax, scanner)
  • Reliable insured vehicle and ability to travel to locations within the Diocese of Palm Beach

Physical Requirements:

  • Occasional light lifting and carrying of under 15 pounds
  • Occasional moderate carrying and lifting of 15 – 44 pounds
  • Frequent use both hands and fingers (i.e. typing)
  • Frequent extended periods of sitting
  • Occasional periods of standing, kneeling and climbing
  • Occasional ability of minimal hearing (i.e. loud noises, sirens) and routine hearing (i.e. listening to others in conversation)
  • Occasional time spent working closely with others
