PT Secretary 2 (25 Hours a Week) - St. Christopher Catholic Church

St. Christopher Catholic Church located in Hobe Sound, FL is searching for a Part Time Secretary (Monday thru Friday, 9:00 am to 2:00 pm, 25 hours a week).

Parish Secretary 2 Duties

  • Parish Calendar
    • Create, Schedule and Maintain
      • Masses/Sacraments/Ministry Groups and Special Events
  • Sacramental Files and Registers:
    • Maintain and send annual reports to Diocese
  • Parish Ministry Liaison
    • Create/Maintain Ministries Yearly Schedules
    • Maintain Homebound Ministry Files
  • Compliance Administrator:
    • Maintain Compliance Records for Clergy/Employees and Volunteers
  • Clergy:
    • Maintain Pastor’s Calendar and Correspondence
  • Risk Management
    • Life Safety Solutions Risk Management Webinars / Workshops
    • Incident reports (accidents, property damage)
    • Inspect property for safety issues and resolve when found
    • Facility Use Contracts and Insurance
  • Facility Management
    • Maintain property / buildings for cleanliness and repair.  Schedule work when needed.  Work with Bookkeeper to confirm vendor compliance status.
  • Write and print parish correspondence / certificates / Diocesan Reports
    • Compliance / USCCB / Catholic Directory / Parish Registers / DSA / Catechetical / Employee / Volunteer Drivers License and Auto Insurance Check

Qualifications Include:

  • Ability to work collaboratively with all parish staff members and volunteers.
  • Understands the importance of confidentiality of church, sacramental records and conversations.
  • Ability to always exhibit professionalism in appearance, work ethic, accountability and responsibility.
  • Ability to be willing to work at an appropriate pace within a variety of circumstances with composure and flexibility.
  • Organization and maintenance of the office area.
  • Provide information to the Priests and office staff about sacramental documents.
  • Strong computer skills. 
  • Proficiency in the use of office equipment. (copier, VOIP phone system, computers, etc.)
  • Understanding and knowledge of the ministry of the church.
  • Proficiency in MS Office Suite, including Word, Excel, Outlook, Publisher, Access, Teams, ACST Parish Data Systems and Formation, Adobe Acrobat, OSV Database, Virtus.org Administrator, Mass Intention Online Calendar Program, and Internet.
  • Ability to work effectively with Parish staff, diocesan employees, volunteers, department heads, and the public.
  • Ability to multi-task, work independently, make responsible judgment calls, pay attention to details.
  • Excellent and professional telephone manner and interpersonal skills.
  • Ability to stay focused and organized.
  • Must have excellent written and verbal communication skills.
  • Bilingual is a plus
  • Adhere to the Diocese of Palm Beach Code of Conduct with emphasis on confidentiality and the ability to exercise discretion and good judgment.

Physical Requirements:

  • Occasional light lifting and carrying of under 15 pounds
  • Occasional moderate carrying and lifting of 15 – 44 pounds
  • Frequent use of both hands and fingers (i.e. typing)
  • Frequent extended periods of sitting
  • Occasional periods of standing, kneeling and climbing
  • Occasional ability of minimal hearing (i.e. loud noises, sirens) and routine hearing (i.e. listening to others in conversation)
  • Occasional time spent working closely with others
  • Employee will be exposed to visual terminal display for long periods of time.
