Assistant Director - Holy Cross Catholic Preschool and Center
Holy Cross Catholic Preschool and Center located in West Palm Beach, FL is searching for full time Assistant Director.

Essential Duties and Responsibilities:
- Manages the day-to-day operations of the school, including, but not limited to greeting guests, ensuring safety and security, email correspondence, tending to students and families, making copies, answering the phone, and most importantly, caring for the well-being of students.
- When teachers are absent, coordination of coverage and substitutes, as well as, sharing in the role of teacher, as needed.
- Managing the distribution of time sheets, recording attendance, and supporting staff needs to aid in daily school needs.
- Coordinating and providing breaks for teachers and staff.
- Assisting and communicating with parents and students regarding various needs and support.
- Acts as a liaison and coordinator of the VPK program between the ELC, Director, and VPK staff and school families to support the program in its entirety.
- Preparing and filing Health Department files for incoming and current families.
- Coordinating schedules to best fit the needs of teachers and students, in addition to enrichment offerings, and special events.
- Foster relationships with families and maintain a decorum and professionalism consistent with the values instilled by the Mission of the school and Diocese.
- Assisting with student healthcare needs and issues and contacting parents/guardians accordingly.
- Communicating with maintenance and cleaning services when issues arise.
- Inputting and monitoring daily and real-time attendance.
- Reporting problems or issues to the Health Department and Director if there are health and safety codes or changes to policies.
- Contacting the authorities if suspicious activity is reported or seen via video footage or teachers’ knowledge.
- Manages the distribution and receival of postmarked mail and email communications.
- Prepares email communications to parents, staff, and stakeholders to remain consistent with school policies and plans, in addition to sharing news and safety concerns.
- Review and prepare new teacher and staff packets to ensure all physical forms and filings meet the school’s needs, as well as the Diocese and Health Department.
- Coordinates lunch service for both students and food vendors to support ordering, inventory, and food distribution.
- Reviewing and updating school calendars to best reflect school schedule, special events, PD training, and staff coverage.
- Coordinates with faculty and the Director on the ordering of supplies and planning of activities.
- Ensuring high quality customer service to achieve the Mission of the school.
- Monitors and oversees the school's security, ensuring that all areas of the school are safe and working efficiently, and that all visitors are properly checked in to the school front office.
- Performs various administrative projects and tasks assigned by the Director.
- Completes copies and sends fax or scanned messages at the request of the faculty and Director accordingly
- Provides support for special projects, events, PD training, Open House, Graduation, etc.
- Acts as a liaison between Director and faculty or school families to support the Mission of the school.
Qualifications:
- Preference of a bachelor’s degree; high school diploma or GED equivalent, college graduation, and two years of school office administrative experience.
- ELC VPK Credentials
- DCF Director Credentials
- Proficient in Google Drive, Excel, and various Social Media platforms
- Excellent and professional telephone manner, interpersonal skills, and confidentiality.
- Ability to work effectively with Diocesan employees, department heads, school stakeholders, and representatives of other agencies and the public.
- Ability to multitask, work independently, and make responsible judgment calls.
- Strong organizational skills and positive problem-solving skills required.
- Ability to use office equipment (telephone, school security system, fax, scanner, computer, copier, iPad, camera, etc.)
Physical and Work Requirements:
- Occasional light lifting and carrying of under 15 pounds
- Occasional moderate carrying and lifting of 15 — 44 pounds
- Frequent use of both hands and fingers (i.e., typing)
- Frequent and extended periods of sitting or standing
- Occasional periods of kneeling and climbing
- Occasional ability of minimal hearing (i.e., loud noises, sirens) and routine hearing (i.e. listening to others in conversation)
- Frequent time spent working closely with others
