Advancement Associate - John Carroll High School

John Carroll High School is seeking to hire a full-time advancement associate for the 2024-2025 school year.

Essential Job Duties / Functions:

  • Under the direction of the Director of Advancement, facilitate, expand, and strengthen the school’s Alumni Association, Parent Association and other constituent groups
  • Update, expand, and strengthen the constituent database (Little Green Light)
  • Provide a weekly list of donor names to the Director of Advancement for direct donor outreach
  • Serve as a liaison for all alumni reunions, including communication support, event planning assistance, and other duties as needed for on-campus events
  • Manages proactive communication with classes who will be celebrating a milestone reunion, including on social media channels
  • Manage current and develop new programs and activities designed to more fully engage different constituent groups
  • Create and send the school’s monthly alumni e-newsletter to alumni database
  • Coordinate with Director of Admissions and Communications and Digital Media + Marketing Associate to gather info for this e-newsletter
  • Create and communicate the school’s Annual Report each May, summarizing the major accomplishments of the school year to be shared with all stakeholders
  • Works closely with Digital Media + Marketing Associate to ensure this report is digitally shared amongst all social media platforms and communication channels
  • Assist Director of Advancement in the development, implementation and management of the John Carroll Fund
  • Manage and coordinate Annual Giving Day with the Digital Media + Marketing Associate
  • Assist Director of Advancement with LGL constituent database management, including communication, updating information, and acknowledgement procedures
  • Assist the Director of Advancement with special and fundraising events
  • Independently run quarterly alumni events, including but not limited to:
  • Homecoming Tent
  • Christmas break event
  • Spring/Summer Soiree
  • Manage and create graphic design projects for advancement office, including social media graphics and posts for advancement events
  • Assist in graphic design requests from all departments within the school, in conjunction with the Digital Media + Marketing Associate
  • Manage alumni social media portals to foster engagement
  • Manage and create content regarding the advancement office and its related events
  • Coordinate with the school’s Digital Media + Marketing Associate to help cross promote between main JC Instagram and Alumni Instagram
  • In conjunction with the Director of Advancement, oversee the Parents’ Association and its activities and fundraisers, which include events such as quarterly meetings, Back to School Night & Parent Expo, Grandparents’ Day reception, Poinsettia Sales, Teacher Appreciation Week, Quarterly Lunches for Faculty/Staff, Baccalaureate Reception
  • Acts as staff liaison for all committees with monthly check-ins, meetings, etc.
  • Work closely with Director of Advancement and Digital Media + Marketing Associate to assist with the school’s website and post updates accordingly
  • Manage the JC Store, maintaining inventory of all items that are for sale
  • Ensure all branding standards are upheld by JCHS
  • Will perform other duties as assigned by the President and Director of Advancement

Additional Job-Related Expectations and Duties:

  • Attend daily chapel and school Masses, Baccalaureate Mass, and graduation 
  • Attend Diocesan Professional Days
  • Coordinate with the enrollment director to update school bulletin boards monthly
  • Assist with the coordination, design, and implementation of the school heritage and history display, root belief promotion, and other school beautification efforts 
  • Give advance notification and keep Principal apprised of off-campus school-related appointments
  • Other school-related responsibilities as determined by the Principal

Qualifications: 

  • Minimum of a Bachelor’s degree
  • Proficient in Microsoft Office and GoogleSuite programs, as well as Canva and graphic design programs 
  • Ability to be self-managed, identify and reach objectives independently, and make responsible judgment calls with minimal supervision.
  • A self-starter with a growth mindset, open to change and continuous improvement.
  • Excellent and professional interpersonal skills and ability to maintain confidentiality
  • Ability to work effectively with school employees, coaches, parents, representatives of other agencies, and the general public
  • Ability to multi-task, work independently and make responsible judgment calls
  • Strong organizational skills and capable of multitasking
  • Ability to use office equipment (fax, computer, copier, iPad, etc.)

Physical Requirements

  • Occasional light lifting and carrying of under 15 pounds
  • Occasional moderate carrying and lifting of 15 – 44 pounds
  • Frequent use both hands and fingers (i.e. typing)
  • Frequent extended periods of sitting
  • Occasional periods of standing, kneeling and climbing
  • Occasional ability of minimal hearing (i.e. loud noises, sirens) and routine hearing (i.e. listening to others in conversation)
  • Frequent time spent working closely with others
